Job Summary:

We are seeking a detail-oriented and organized Accounts Payable Specialist to join our accounting team. This role is essential in ensuring the accuracy and timeliness of payments to vendors, maintaining positive relationships with suppliers, and supporting the company’s financial operations. The ideal candidate has strong analytical skills, excellent communication abilities, and a commitment to accuracy.

Key Responsibilities:
  • Invoice Processing: Review invoices for approvals, match invoices to purchase orders, verify general ledger coding, and process invoices accurately and efficiently into the accounting system.
  • Vendor Relations: Communicate with vendors to resolve discrepancies, set up and maintain vendor files, answer inquiries, and maintain positive relationships.
  • Payment Execution: Prepare and process payment runs, including checks, ACH, and wire transfers. Process payments and have checks signed according to policies.
  • Reconciliations: Perform monthly account reconciliations, prepare month-end journal entries, reconcile AP related balances in general ledger, and resolve any discrepancies.
  • Records Management: Maintain organized and accurate records of accounts payable transactions and vendor information including W-9s, ACH file information and wire information for electronic payments.
  • Compliance: Ensure adherence to company policies, procedures, and relevant regulatory requirements.
  • Team Collaboration: Work closely with internal departments to ensure the accurate and timely processing of payments and address inquiries.
  • Year End: Prepare and submit 1099s, and prepare schedules for auditors
 

Qualifications:
  • Education: High school diploma or equivalent; an Associate’s degree in Accounting, Finance, or a related field is preferred.
  • Experience: Minimum of 3 years of experience in accounts payable or a similar role.
  • Skills:
    • Understanding of basic principles of finance, accounting, and bookkeeping
    • Proficiency in accounting software, ERP systems, and Microsoft Office, especially Excel.
    • Strong attention to detail and ability to manage high volumes of transactions.
    • Ability to maintain confidentiality of company and partner information
    • Problem-solving skills and the ability to meet deadlines in a fast-paced environment.
    • Strong customer service skills
