SUMMARY
Primary responsibilities include supporting the Finance Team with the following processes: cash receipts, payroll and benefits, mail, and assigned office filings.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties as assigned.
Cultivates positive relations with agencies, program participants, staff, volunteers, donors, and other members of the public.
Daily open mail and prepare donor deposits. Each month-end export and sort bank activity to prepare for the Finance Team to make journal entries for ACH receipts, payments, and credit cards.
Maintains employee electronic data in Attendance on Demand (AOD), ensuring data integrity and up-to-date information for accurate payroll processing and benefits.
Processes bi-weekly payroll, reviewing timesheets and following up with supervisors on discrepancies, exporting information into the proper report format and transmitting reports to payroll vendor for processing. The Staff Accountant reviews and works directly with payroll vendor to ensure that employee wages, payroll taxes, and benefit payroll deductions are accurate. Each pay period payroll reports are reviewed and signed off on by Staff Accountant.
This position assists the Staff accountant to maintain employee benefits programs, including paid time off (PTO), health insurance, dental, vision, life insurance, retirement plans, and annual benefit open enrollment opportunities.
Assist in the general ledger coding of invoices, inputting invoices in the accounts payable system, process check runs and loading bank “positive pay”.
Mails monthly statements to partner agencies. Weekly record order “write-offs” for partner agency/programs that the Food Bank covers the costs.
Completes required filings for the following: State filings for Iowa and Illinois, DOT filings, SAM registration, Census, OSHA, and Illinois extension letters.
General office responsibilities include ordering office supplies, taking care of the postage meter and postage supplies with Pitney Bowes, handling maintenance or repairs on office copiers and printers with Advanced Business Systems.
Serve as an administrator for the phone system which includes helping new employees with training and questions.
Prepares year-end financial audit requests in areas of responsibility and any others as assigned.
Works with the Finance team to maintain employee files, contractual files, and other office filings. Applies best practices to ensure confidentiality and secure destruction of documents.
Responsible to cross train specific tasks as assigned by Controller between accounting personnel to cover absences and PTO time.

QUALIFICATIONS
- A two-year associates degree plus at least years of office experience, or equivalent combination of education and experience.
- Proficiency in Microsoft Office, including Excel, Outlook and Word.
- Ability to quickly learn new business systems
- Strong organizational skills with the ability to effectively multi-task.
- Ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills.
- Ability to work well independently in a team environment.
- Accurate typing and data entry skills.
