Summary:
The Down Syndrome Association of Wisconsin is a statewide non-profit organization dedicated to advancing the lives of individuals with Down syndrome and related disabilities and their families through awareness, education, information, programs, services, and the exchange of ideas and experiences.

DSAW provides programs and services throughout the lifespan as well as educational opportunities and events.

We have an immediate opening for an Outreach & Event Coordinator, a position based out of Sheboygan / Fond du Lac area and serving families throughout Sheboygan and Surrounding Counties Chapter (Manitowoc, Sheboygan, Fond du Lac, and Dodge counties). The Coordinator will be responsible for planning and implementing family and fundraising events in Sheboygan and Surrounding Counties chapter, as well as building relationships with families and partner organizations in the region. Successful candidates are positive, energetic, and have a passion for helping individuals with Down syndrome and other disabilities to achieve amazing lives. This position is perfect for someone looking for part-time hours, a moonlighting special education teacher, a parent of a child with Down syndrome or related disabilities, and/or a college student. As a face of the organization, successful candidates will be outgoing, detail-oriented, tech-savvy, and able to work some nights and weekends in support of events. Project  management, event planning, self-direction, and writing skills are important; attention to detail and follow-through are a must. Key attributes are a genuine love of working with people, ability to take direction and constructive feedback, and a desire to give 100% every day on behalf of individuals with diverse abilities. Successful candidates will have a positive track record of responsibility and operations for similar organizations or individual efforts. Candidates should be willing to travel frequently to counties in the Sheboygan and Surrounding Counties chapter. The Coordinator can expect to work more hours during the early fall in support of our fundraising event (Annual Awareness Walk).
Essential Functions and Responsibilities
 
Family Event Planning and Implementation
  • Take ownership of the planning and implementation of fun family events in Manitowoc, Sheboygan, Fond du Lac, and Dodge counties, including family events, holiday events, and more
  • Complete specific tasks, which may include reserving facilities, purchasing supplies, and collaborating with other partners / vendors
  • Send reminder emails to participants registered for events
  • Manage volunteers for programs and events
  • Assist the Sheboygan and Surrounding Counties Board in planning and/or hosting events in the area as needed
  • Plan events and programs at the Chapter’s new office in Glenbulah
  • Other event and program support duties as assigned

Fundraising Event Planning and Implementation
  • Take ownership of the planning and implementation of the annual Down Syndrome Mini Golf and Awareness Walk
  • Update project management spreadsheet and ensure timely completion of action items
  • Meet frequently with volunteer event committees
  • Work with and secure all event facilities, vendors, and special guests
  • Solicit donations and monetary sponsorships
  • Print and send sponsor and participant mailings
  • Put together raffle baskets
  • Purchase supplies
  • Manage volunteers
  • Create raffle baskets
  • Pack and lift boxes
  • Set up for the event
  • Communicate with participants
  • Other event duties as assigned
  • Candidate must be available on the event day and in the 3-4 weeks leading up to our walk

Advisory Board Coordination
  • Collaborate with the Sheboygan and Surrounding Counties Advisory Board to strengthen engagement and leadership
  • Assist with the preparation for monthly advisory board or committee meetings, including creating the agenda, pre-read packet, and sending out reminders
  • Act as the key point person for the Advisory Board for questions and assistance
  • Help the Advisory Board create applicable program and event committees to further their work
  • Engage board members in supporting events, outreach efforts, and fundraising initiatives

Community Outreach
  • Build relationships with families and local organizations through attending events, conferences, and fairs across the Chapter
  • Work collaboratively with partner organizations on joint events
  • Work with DSAW boards, committees, and community volunteers

Administrative Duties
  • Respond to applicable emails and phone calls related to local events and support
  • Maintain event inventory in storage unit

Marketing Duties
  • Promote local chapter events on social media
  • Send email blasts regarding upcoming events

Other duties as assigned

Qualifications
  • Event planning experience is preferred
  • The minimum education level for this job is a high school diploma
  • Applicant must have a valid Driver’s License in the state of Wisconsin, and should have access to a reliable vehicle with adequate insurance coverage.
  • Applicant must be willing and able to regularly lift at least 50 pounds for event and program support.
  • Applicant must be able to pass a caregiver background check, credit check, and driver’s license background check.
  • Applicant must be able to work some evenings & weekends and must be willing to travel in the Sheboygan and Surrounding Counties chapter
  • Professional written and interpersonal skills are essential
  • Outstanding personal integrity and commitment to DSAW’s mission
