We are currently seeking an enthusiastic Event Coordinator with a background in corporate event and/or conference planning to organize our 2026 inPOWER User Group Conference.
CONFERENCE BACKGROUND
As an Infor XA ERP Channel Partner, ISE plays a significant role in hosting the annual inPOWER User Group Conference. inPOWER is an annual premier conference for users of three of Infor’s ERP systems: XA, LX, and System 21. The conference focuses on education, networking, and product roadmaps for the systems that run on the IBM i platform.
This 3.5-day conference takes place September 14-17, 2026, at the Ingleside Hotel in Pewaukee, WI, and it attracts more than 450 attendees: 200 users and 250 vendors. It features keynote presentations, over 100 breakout sessions, hands-on labs, and evening events. There is also a solution fair where about 40 vendors have booths.
About The Role
Reporting to the Director of Partners & Contracts, the Event Coordinator is responsible for organizing and planning every aspect of the 2026 inPOWER conference. Key duties span from helping to plan the schedule to choosing and coordinating the evening events to evaluating success afterwards. This position works directly with the Ingleside Hotel, the Infor user group, and all vendors engaged in the conference.
The goal of this role is to organize an unforgettable inPOWER conference that will ensure the education and entertainment of attendees and facilitate the successful completion of the conference’s objectives. This exciting position offers the right candidate a unique opportunity to be mentored into the role by a retired ISE employee with 20-plus years of experience in facilitating the inPOWER conference.

Work Schedule:
- March/April start: Flexible part-time day shift hours. Hybrid option available.
- May to August/September: Additional part-time hours will be required as conference details get finalized, the conference is promoted, and registrations are being accepted.
- September 13th – 19th: Full-time onsite work, including evenings, is required during the week of the conference.
Contract Duration:
- Approximately 6 months, beginning in March/April and through September 2026.
- Opportunity to serve as ISE’s Event Coordinator in subsequent inPOWER annual conferences.
- A highly successful Event Coordinator in 2026 may be considered for hire into a regular employee status.

Essential Job Duties:
- Working with the Infor user group and ISE designee, support the development of the conference agenda, including timelines for each day of the inPOWER conferenc
- Coordinate the overall logistical execution of the inPOWER conference, including but not limited to room setup, menu planning, AV needs, hotel blocks, conference registration, and attendee materials
- Liaise with vendors and venue staff to ensure smooth operations and ensure all logistics align with the timeline of the conference program
- Plan conference events with attention to financial and time constraints.
- Assist with scheduling blocks for speakers, rooms, booth assignments, and sponsorship
- Research vendors (food trucks or caterers and musicians, etc.) for evening events and choose the best combination of quality, cost, and alignment for the conference
- Lead on-site operations during the entire conference, including AV setup testing, registration desk management, and serving as the primary point of contact for sponsors, speakers, attendees, and venue staff
- Be on site to oversee the conference events and act quickly to resolve any problem
- Evaluate the success of the conference and submit a summary
Qualifications:
- Degree in hospitality management, public relations, or a relevant field, or equivalent experience, is preferred.
- A minimum of three years of experience in corporate event or conference planning
- A proven track record of organizing successful professional events for 450-plus attendees, with references that can be verified
- Proficient in registration software (e.g., WorkOutLoud) and Microsoft 365 solutions, including Word, Excel, PowerPoint, Outlook, and Teams
- Excellent verbal and written communication skills to liaise with vendors, attendees, speakers, and sponsors
- Ability to identify potential risks, troubleshoot issues on-site, and manage contingency plans
- Must be available to work on-site, including evenings during the week of the conference
